Why it matters

What the phone costs fitness studios and gyms

The desk empties out the moment class starts

Whoever runs the front desk is often also coaching. A call during the 6am block goes unanswered, and that caller rarely tries again before checking the next studio.

Pricing and schedule questions repeat all day

Drop-in rates, class times, whether there's a punch card option — configure the answers once and every caller hears the same accurate version.

Freeze and cancellation calls pile up unanswered

Members asking to pause or cancel don't want to wait for a callback window. Their request gets logged the moment they call, not whenever the desk resurfaces.

Common calls

The calls it handles

Each is answered from the business knowledge you configure and lands as a call record, with a message or an appointment request alongside it.

Membership and pricing inquiries
Monthly rates, class packs and any current pricing you've configured are answered directly; anything else is logged as a message.
Class schedule and drop-in questions
Times, formats and which classes accept drop-ins are answered from your configured schedule.
Free intro-class requests
First-timer's name, contact info and preferred class time are captured as a request for the front desk to confirm.
Personal training inquiries
Goals, availability and whether the caller wants one-on-one or small group are logged for a trainer to follow up.
Membership freeze and cancellation calls
Taken as a request with the member's name and reason, since account changes are handled by staff, not the receptionist.
Studio tour requests
Preferred day and time for a walkthrough are captured and logged for the front desk to schedule.

A realistic call

How a call actually goes

Monday, 6:20am. A caller wants to try a class before joining.

  1. ReceptionistGood morning, thanks for calling — how can I help?
  2. CallerDo you offer a free first class for new people?
  3. ReceptionistWe do — your first class is free. What kind of class are you interested in?
  4. CallerSomething like the 5:30pm strength class, if that's beginner-friendly.
  5. ReceptionistThat class welcomes all levels. Can I get your name and a number to hold your spot?
  6. CallerJordan Reyes, 555-0148.
  7. ReceptionistI've logged that for the team to review and call you back on this number. Is there anything else I should add?
  8. CallerWhat should I bring?
  9. ReceptionistJust water, sneakers and a mat if you have one — the rest is provided.

What gets captured

What ends up in your dashboard

  • Caller name and callback number
  • Whether the caller is new, a lapsed member, or current
  • Class, format or trainer they asked about
  • Preferred day and time for an intro class or tour, logged as a request
  • Freeze or cancellation reason, when a current member calls about their account
  • Fitness goals mentioned, for personal training follow-up

How it works

Evenings, weekends and overflow

Early-morning and evening class blocks are when studios get the most calls and have the fewest free hands. Route calls to Get Assistant during class hours or after the desk closes for the night. Callers still get accurate schedule and pricing answers, and intro-class requests are waiting in your dashboard when the front desk is free again.

Two ways to forward

Forward every call, or use conditional forwarding from your carrier so only unanswered and after-hours calls reach your Get Assistant number.

Limitations

What it will not do

These limits are deliberate, and they are the same on every call.

  • It does not give medical or injury advice — questions about pain, an existing condition, or whether a class is safe for someone are logged for a coach or trainer to address directly.
  • It does not change membership contracts, billing, or freeze dates — those requests are logged for staff to process.
  • On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to the front desk or a coach during the hours you choose. If nobody picks up, it takes a message and a callback number instead.
  • It does not confirm a class spot or a tour time — every request waits for the front desk to schedule it.
  • It is not built for a medical emergency on the floor; anything urgent should go straight to 911 and on-site staff.

Call records include member names, contact details and any freeze or cancellation reasons shared on the call, so keep dashboard access limited to staff who manage memberships. Calls are recorded and transcribed by default, per your state's disclosure rules. Privacy Policy and Terms.

FAQs

Fitness studios and gyms questions

Setup, billing and security are covered in the general FAQs.

Can it sign someone up for a free intro class on the spot?
It captures the caller's details and preferred class time as a request. Your front desk confirms the actual spot, since class capacity isn't something the receptionist can see.
Will it know our current class schedule?
Yes, if you keep it configured. Class times, formats and instructor names are part of your business knowledge, and the receptionist answers directly from that.
Can it process a membership freeze or cancellation?
No. It logs the member's name and request so your staff can make the account change — it never edits billing or membership status itself.
What if someone calls asking whether a class is safe with an injury?
It does not answer that. The question is logged for a coach or trainer to call back, and the caller is told someone will follow up.
