Why it matters

What the phone costs residential and commercial cleaning companies

A reschedule call lands while the crew is already driving

A client canceling a biweekly visit at 7am needs to reach someone before the van leaves the lot, not a voicemail that gets checked at lunch.

Move-out cleans are tied to a hard deadline

Lease turnovers cannot slip. Callers give a move-out date and a property manager's contact, and both are captured exactly as stated.

Quote calls need the home's size before anyone can price it

Square footage, bedroom and bathroom counts, and whether it's a one-time deep clean or a recurring plan all get recorded on the first call.

Common calls

The calls it handles

Each is answered from the business knowledge you configure and lands as a call record, with a message or an appointment request alongside it.

New recurring service inquiry
Home size, bedroom and bathroom counts, and preferred frequency — weekly, biweekly or monthly — are captured as a quote request.
One-time deep clean
Scope questions like oven interior, inside cabinets or baseboards are noted, along with the date the caller wants.
Move-out or move-in clean
Lease end date, whether a property manager needs a receipt, and the property address are logged as time-sensitive.
Reschedule or skip a visit
Which date is affected and whether the client wants to skip or move the visit is captured for your scheduler to action.
Access and key arrangements
Lockbox code, hidden key location or an alarm code the caller wants relayed to the crew is recorded as an access note.
Commercial janitorial inquiries
Facility size, hours the space is empty and whether cleaning needs to happen after the last employee leaves are captured for your commercial team.

A realistic call

How a call actually goes

Tuesday, 7:05am. A biweekly client needs to skip this week's visit.

  1. ReceptionistGood morning, thanks for calling. How can I help?
  2. CallerHi, I need to skip my cleaning this Thursday, we have contractors in the house.
  3. ReceptionistNo problem. Can I get your name and the address on file?
  4. CallerPriya Nair, 220 Oakwood Lane.
  5. ReceptionistThanks, Priya. Should I put you back on your normal biweekly schedule after this?
  6. CallerYes, just skip this one visit.
  7. CallerAlso, the dog will be out in the yard that day if anyone comes by.
  8. ReceptionistGood to know. I've logged that for the team to review. Is there anything else I should add?
  9. CallerNo, that covers it.
  10. ReceptionistGreat, someone will confirm the skip shortly.

What gets captured

What ends up in your dashboard

  • Caller name, callback number and service address
  • Square footage and bedroom/bathroom counts for pricing
  • One-time deep clean versus recurring, and requested frequency
  • Access arrangement: lockbox code, hidden key or someone home
  • Whether pets are in the home and any notes about them
  • Move-out date and property manager contact when relevant
  • Reschedule or cancellation details tied to a specific visit date

How it works

Evenings, weekends and overflow

Cleaning inquiries and reschedule requests often come in before your office opens or after crews have already left for the day. Forward your line, or route only unanswered calls, so an early caller wanting a quote or a client needing to skip a visit gets a real conversation instead of a voicemail that sits until your team is back at a desk.

Two ways to forward

Forward every call, or use conditional forwarding from your carrier so only unanswered and after-hours calls reach your Get Assistant number.

Limitations

What it will not do

These limits are deliberate, and they are the same on every call.

  • It does not confirm a crew's arrival time or dispatch a team to a home.
  • On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to your scheduling coordinator during the hours you choose. If nobody picks up, it takes a message and a callback number instead.
  • It does not book or move a slot on your calendar — schedule changes are logged as requests for your office to confirm.
  • It does not quote a price unless you've configured your rates as business knowledge.
  • It is not an emergency line. A break-in, fire or flooding discovered during a visit should go to 911 or your crew's safety protocol, not this line.

Call records may include lockbox codes, alarm codes and pet details, so limit dashboard access to people who need it. Calls are recorded and transcribed by default; state disclosure requirements are yours to meet in your greeting. Privacy Policy and Terms.

FAQs

Cleaning companies questions

Setup, billing and security are covered in the general FAQs.

Can it quote a price for a deep clean over the phone?
Only if you've configured your pricing as business knowledge. Otherwise it captures square footage, scope and frequency and logs the request for your team to price.
Will it remember a client's lockbox code from a previous call?
It captures whatever the caller shares on that call and logs it as an access note. It does not carry information between calls on its own — that stays in whatever client record you keep.
Can it move my visit to a different day?
It logs the reschedule request with the date affected and what the caller wants. Your scheduler confirms the change, so nothing shifts on the calendar automatically.
Does it handle both residential and commercial calls?
Yes. It asks the questions relevant to each — home size and pets for residential, facility hours and access windows for commercial — and logs them separately.

Stop juggling reschedule calls between houses

Set up your service area and scheduling rules once, and let quote, reschedule and move-out calls land as clean records.
