Get Assistant

For caterers and event companies

Your team is plating dinner, not answering the office line

Get Assistant answers while your crew is on-site running an event, asks about the date, headcount, venue and service style the caller has in mind, and logs the inquiry so your coordinator can follow up with real availability.

Why it matters

What the phone costs catering and event companies

The busiest calling hours are the busiest working hours

Evenings and weekends are when people plan events and exactly when your team is plating and pouring at someone else's. A missed call on a Saturday often becomes a booked competitor by Monday.

A wedding inquiry and a corporate drop-off sound different for good reason

Guest count, service style and budget range shape everything downstream. Capturing them on the first call means your coordinator starts the follow-up with a real proposal, not a guess.

Dietary and allergy details get lost between calls

A caller mentions a shellfish allergy or a mostly-vegan guest list once, in passing, on a Tuesday night call. Logged details don't depend on someone remembering that detail three days later.

Common calls

The calls it handles

Each is answered from the business knowledge you configure and lands as a call record, with a message or an appointment request alongside it.

Event date and headcount inquiries
Date, approximate guest count and venue are captured as the starting point of the inquiry.
Service style questions
Buffet, plated, family-style or drop-off — what the caller is picturing gets logged alongside the event details.
Dietary restrictions and allergies
Any allergy or restriction mentioned is recorded verbatim so nothing gets softened in translation.
Budget range conversations
A per-person or total budget the caller volunteers is noted, without the receptionist quoting a price back.
Tasting requests
Interest in a tasting is logged as a request with preferred dates for your coordinator to schedule.
Deposit and cancellation policy questions
Answered from your configured policy language, or logged as a message when it isn't configured.

A realistic call

How a call actually goes

Saturday, 8:45pm. The crew is mid-service at a wedding; a caller wants a quote for a corporate event.

  1. ReceptionistThanks for calling, how can I help?
  2. CallerI'm planning a company holiday party and wondering if you're free that weekend.
  3. ReceptionistI can log that for the team. What date are you looking at?
  4. CallerDecember 13th, and we're expecting around 80 people.
  5. ReceptionistGot it — 80 guests on December 13th. Were you thinking buffet or a seated dinner?
  6. CallerBuffet, probably, and we have a few vegetarians and one guest with a nut allergy.
  7. ReceptionistI've logged that for the team to review and call you back on this number. Is there anything else I should add?
  8. CallerJust that the venue is the Riverside Hall downtown.
  9. ReceptionistNoted. I should mention this call doesn't hold the date — the team will confirm availability directly.

What gets captured

What ends up in your dashboard

  • Caller name and callback number
  • Event date and venue, when known
  • Estimated guest count
  • Service style requested: buffet, plated, family-style or drop-off
  • Dietary restrictions or allergies mentioned
  • Budget range volunteered by the caller
  • Tasting request and preferred scheduling window

How it works

Evenings, weekends and overflow

Most event inquiries come in the evening or over a weekend, exactly when your team is on-site running the last event they booked. Route your line to Get Assistant during service hours or after your office closes. Callers still get their date, headcount and dietary details captured, and your coordinator opens Monday with organized inquiries instead of a string of missed calls.

Two ways to forward

Forward every call, or use conditional forwarding from your carrier so only unanswered and after-hours calls reach your Get Assistant number.

Limitations

What it will not do

These limits are deliberate, and they are the same on every call.

  • It does not hold a date or confirm availability — every inquiry is logged for your coordinator to check against your actual calendar.
  • It does not quote a final price; any budget figures the caller mentions are recorded, not negotiated.
  • On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to your event coordinator during the hours you choose. If nobody picks up, it takes a message and a callback number instead.
  • It does not take a deposit or process any payment over the phone.
  • It is not equipped to handle an on-site emergency during an event — an allergic reaction or medical situation at a venue should go straight to 911 and on-site staff.

Call records include host names, event details and dietary or allergy information shared by callers, so limit dashboard access to staff planning the event. Calls are recorded and transcribed by default, per your state's disclosure requirements. Privacy Policy and Terms.

FAQs

Caterers and event companies questions

Setup, billing and security are covered in the general FAQs.

Can it confirm we're available on a specific date?
No. It doesn't have visibility into your event calendar, so it logs the requested date and details as an inquiry for your coordinator to check and confirm.
Will it collect allergy and dietary information accurately?
It records what the caller says as closely as possible, including specific allergies, and flags it clearly on the call record for your kitchen team to review.
Can it take a deposit to hold the date?
No, it never processes payment. Deposits and contracts are handled by your team once availability is confirmed.
What if a caller wants to speak with our event coordinator directly?
On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to your event coordinator during the hours you choose. If nobody picks up, it takes a message and a callback number instead. Otherwise their name, number and event details are taken as a message.

Don't lose the Saturday-night inquiry to a competitor

Set up your service styles, policies and event questions once, then let weekend calls arrive as organized inquiries instead of missed rings.
