Get Assistant

For marketing and design agencies

The referral call lands mid-workshop, not at your desk

Get Assistant answers your line while the team is heads-down with a client, asks what the caller needs and by when, and logs the request in your dashboard so nobody chases a callback from memory two days later.

  • Answers calls 24/7
  • Captures scope and timeline

Why it matters

What the phone costs marketing and design agencies

New business calls during the exact hour you're pitching

A referred prospect calls to talk budget the moment your whole team is in the conference room. The call still gets answered and the details still get written down.

Client fires and cold outreach sound the same for the first ten seconds

"Our site's down" and "we do link building, got a minute" both start politely. Every call record notes what the caller actually said, so triage doesn't depend on guessing from a voicemail transcript.

RFP deadlines get missed because the message sat in a shared inbox

A procurement contact calling about a submission window gets logged with the deadline they mentioned, not paraphrased later by whoever happened to check voicemail.

Common calls

The calls it handles

Each is answered from the business knowledge you configure and lands as a call record, with a message or an appointment request alongside it.

New-business inquiry from a referral or the portfolio site
The caller is asked what kind of project they're calling about and who referred them, which gets attached to the call record for account planning.
Scope and budget qualification
Rough project type, timeline and budget range are captured when the caller is willing to share them, without the receptionist quoting rates back.
RFP or proposal request
Submission deadline, procurement contact and any portal link the caller mentions are noted so the pitch team isn't working off a half-remembered voicemail.
Existing-client escalation on a live campaign or outage
"The landing page is down" or "the ad account got flagged" is logged with the client name and what's affected, flagged for same-day attention.
Vendor and freelancer calls
Contractors calling about an invoice or availability are logged separately from client and prospect calls so they don't clog the new-business queue.
Cold sales calls
Callers pitching SEO tools or lead lists are handled politely and logged as low priority, so your team isn't interrupted mid-pitch for a vendor cold call.

A realistic call

How a call actually goes

Tuesday, 2:15pm. The whole team is in a client workshop; a referral calls about a rebrand.

  1. ReceptionistThanks for calling, this is the studio's assistant. How can I help?
  2. CallerHi, I got your name from Dana at Northbridge. We're looking at a full rebrand.
  3. ReceptionistGreat, congratulations on the project. Can I get your name and the best number to reach you?
  4. CallerPriya Shah, and it's 415-555-0142.
  5. ReceptionistThanks, Priya. Do you have a rough timeline or budget range in mind, if you're comfortable sharing?
  6. CallerWe'd want to launch by Q1, budget's probably in the twenty-to-forty range.
  7. ReceptionistThat's helpful context. I've logged that for the team to review. Is there anything else I should add?
  8. CallerJust that we're also talking to two other shops, so sooner is better.
  9. ReceptionistNoted — I'll flag that. Someone from the team will follow up soon.

What gets captured

What ends up in your dashboard

  • Caller name, company and callback number
  • Referral source or how the caller found the agency
  • Project type — brand, web, campaign, ongoing retainer
  • Rough timeline and budget range, when the caller shares one
  • RFP deadline and procurement contact, if the call is about a submission
  • Which existing client and campaign, for escalation calls
  • Whether the caller is a prospect, existing client, vendor or cold outreach

How it works

Evenings, weekends and overflow

Evening and weekend calls still get answered instead of routed to a generic voicemail box. A prospect calling after a late work session gets the same qualifying questions, and an existing client reporting a broken landing page at 9pm gets that flagged as an escalation rather than filed as a routine message, so the account lead sees it first thing without digging through a shared inbox.

Two ways to forward

Forward every call, or use conditional forwarding from your carrier so only unanswered and after-hours calls reach your Get Assistant number.

Setup and forwarding FAQs

Limitations

What it will not do

These limits are deliberate, and they are the same on every call.

  • It does not quote scope, rates or project fees unless the agency has configured that language in advance
  • It does not review or comment on creative work, strategy documents or ad performance
  • It is not a project management tool — it does not update timelines, tasks or client status boards
  • It is not an emergency line; a caller describing a safety issue is told to contact emergency services directly
  • It does not negotiate contract terms or commit the agency to a deadline
  • On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to your account team during the hours you choose. If nobody picks up, it takes a message and a callback number instead.

Calls are recorded and transcribed to build the call record and message; access is limited to your team and the notifications you configure, never shared with prospects' or clients' other vendors. Privacy Policy and Terms.

FAQs

Marketing and design agencies questions

Setup, billing and security are covered in the general FAQs.

Will it quote our rates to a prospect?
Only if you configure specific language for it to use. By default it captures the project type, budget range and timeline the caller volunteers, and leaves quoting to your team.
Can it tell a client emergency from a routine check-in?
It asks what's happening and logs the caller's own description. Reports about a live outage or a campaign issue are flagged in the call record so they surface ahead of routine messages.
Does it screen out cold sales calls?
It handles these calls politely, but pitches from vendors and tool sellers are logged as low priority so they don't interrupt your team during a client session.
Can it handle calls about an RFP or procurement portal?
Yes. It captures the deadline, the procurement contact and any portal details the caller gives, so your pitch team starts from a complete note instead of a rushed voicemail.
