Small Business Phone System Checklist: A Full Audit

Most small business phone lines were set up once, years ago, and never revisited. Numbers change hands, hours shift, and forwarding rules quietly stop matching how the business actually runs. This checklist walks through the whole setup so you can find the gaps before a caller does.
Greeting and hours
- Does your greeting state your business name clearly, so callers know they dialed correctly?
- Are your posted hours accurate, including any seasonal or holiday changes?
- Does the caller hear something different outside business hours than during them?
- If you have multiple locations, does the greeting make clear which one they've reached?
Forwarding and routing
- Does your line forward on no-answer, not just when it's busy?
- What happens to the second and third caller when the first is already on hold?
- Are urgent call types routed differently from routine ones, or does everything land in one queue?
- If a call needs a live transfer, is there a real person reachable at that number right now?
Voicemail and messages
Check whether your voicemail box is actually full — a surprising number of missed opportunities come from a box that stopped accepting new messages weeks ago. Listen to a few recent messages end to end: are callback numbers clear, are messages transcribed or summarized anywhere, and how long does a message typically sit before someone acts on it?
Spam and junk calls
Robocalls and spam calls waste staff time and pollute your call records if you're trying to measure real volume. Check whether your carrier's spam filtering is turned on, whether obvious junk numbers are getting blocked, and whether anyone on your team is still manually screening calls that a filter could catch instead.
Notifications and follow-up
A call that's answered but never followed up on is barely better than a missed one. Confirm that whoever needs to act on a call actually gets notified — by email or otherwise — and that there's a record of what was said, not just that a call happened.
