How to Measure Your Answer Rate, Abandon Rate and After-Hours Share
You cannot fix what you do not measure. Here's how to read your own call logs and track the three numbers that matter most.
Most owners guess at how many calls they miss. The truth is sitting in your phone carrier's account portal or your PBX admin panel, usually under call logs or call detail records, and it takes less than an hour to pull the three numbers that actually tell you something.
The three numbers to track
- Answer rate: calls answered by a human or a receptionist system, divided by total inbound calls.
- Abandon rate: calls that hang up before being answered, often within the first 20-30 seconds.
- After-hours share: what portion of total inbound calls arrive outside your posted business hours.
Where to find the raw data
Cell carriers, VoIP providers and most business phone systems keep call detail records for 30-90 days, exportable as CSV. Each row typically includes timestamp, duration, and whether the call was answered, missed, or went to voicemail. If you already forward to an answering service or an AI receptionist, its dashboard usually reports this more cleanly than raw carrier logs, since it can distinguish an actual answer from a ring that ended in voicemail.
Doing the math without a fancy tool
- Export a full week or month of call records.
- Tag each row as answered, voicemail, or hung up before answer.
- Tag each row's timestamp as inside or outside business hours.
- Divide answered calls by total calls for answer rate.
- Divide hung-up calls by total calls for abandon rate.
- Divide after-hours calls by total calls for after-hours share.
What a healthy trend looks like
There is no universal benchmark you should chase, and anyone quoting you an exact industry percentage is guessing. What matters is your own trend line. A healthy pattern looks like: answer rate climbing or stable near your ceiling, abandon rate falling toward zero, and after-hours share staying flat or shrinking as a percentage of total volume even as raw call counts grow. If after-hours share is rising and your abandon rate on those calls is high, that is lost revenue with a specific, fixable cause.
Turning the numbers into a decision
If abandon rate is concentrated in a specific window, that window needs coverage, whether that is a lunch rush, evenings, or weekends. If after-hours share is a meaningful chunk of total volume and those calls mostly go to voicemail, you are relying on callers to leave a message and wait for a callback rather than getting help now.
