Get Assistant

For tutoring centers and learning programs

The phone rings hardest right when every tutor is booked

Get Assistant answers your line at 3:45pm when every room is full, asks a calling parent about grade level, subject and timeline, and logs the enrollment or scheduling request so your front desk follows up the moment a tutor is free.

  • Answers calls 24/7
  • Captures grade and subject
  • No score promises made

Why it matters

What the phone costs tutoring centers and learning programs

The busiest calling hour is the busiest tutoring hour

Parents call right after school lets out, exactly when every tutor is mid-session and nobody is free to pick up the phone.

SAT and ACT timelines get lost in general inquiries

A parent calling six weeks before a test date needs a different response than one asking about ongoing math help, and that urgency needs to be on the record.

IEP and learning-support questions need care, not a guess

Parents asking about accommodations deserve a real answer from staff, not an improvised response from whoever happens to answer the phone.

Common calls

The calls it handles

Each is answered from the business knowledge you configure and lands as a call record, with a message or an appointment request alongside it.

New enrollment inquiry
Grade level, subject, and what prompted the call — a report card, a upcoming test, ongoing struggle — are captured for a program coordinator.
Test-prep timeline call
SAT or ACT date, current score range if known, and target timeline are logged so the right prep track can be discussed.
Diagnostic assessment request
Parents asking to schedule a diagnostic are captured with the student's grade and subject area of concern.
Session scheduling and package questions
Requests to add a session, change a time, or ask about package pricing are logged for the front desk to confirm.
IEP or learning-support question
Questions about accommodations or learning differences are captured for staff to discuss directly rather than answered on the spot.
Existing family general question
Attendance, billing, or 'can we switch tutors' calls are logged as a message with the student's name.

A realistic call

How a call actually goes

Wednesday, 4:10pm. Every tutor in the center is with a student.

  1. ReceptionistThanks for calling, how can I help today?
  2. CallerHi, I'm looking into tutoring for my son, he's in 9th grade and struggling with algebra.
  3. ReceptionistHappy to help get that started. Is this his first time working with a tutor, or has he had one before?
  4. CallerFirst time. His grades dropped this semester and I want to catch it early.
  5. ReceptionistThat makes sense. Would you like to start with a diagnostic assessment so we know exactly where to focus?
  6. CallerYes, that sounds good. How soon could that happen?
  7. ReceptionistI'll log this so our coordinator can call you back today with available times. Can I get your name and a good number?
  8. CallerDana Whitfield, and this number is fine.
  9. ReceptionistI've logged that for the team to review. Is there anything else I should add?
  10. CallerNo, I think that covers it.
  11. ReceptionistGreat — someone will call you back today about scheduling.

What gets captured

What ends up in your dashboard

  • Parent or caller name and callback number
  • Student's grade level and subject area of concern
  • Whether this is a new inquiry or an existing family
  • Test-prep details when relevant — which test and target date
  • Whether a diagnostic assessment is being requested
  • Scheduling preferences or package questions raised
  • Any accommodation or learning-support question, flagged for staff

How it works

Evenings, weekends and overflow

Parents often call in the evening after checking a report card or reviewing test scores together. Forward your line after your last session ends and Get Assistant keeps answering, capturing grade level, subject and timeline so your coordinator starts the next day with a ready list instead of a stack of missed calls.

Two ways to forward

Forward every call, or use conditional forwarding from your carrier so only unanswered and after-hours calls reach your Get Assistant number.

Limitations

What it will not do

These limits are deliberate, and they are the same on every call.

  • It never gives an educational diagnosis or tells a parent what learning difference their child has.
  • It never promises a specific test score, score improvement, or admissions outcome.
  • On every plan, if you've set up call transfer, your receptionist can ask the caller and then attempt a warm transfer to a program coordinator during the hours you choose. If nobody picks up, it takes a message and a callback number instead.
  • It does not confirm session bookings — scheduling requests are logged for staff to confirm against tutor availability.
  • It does not discuss IEP accommodations in detail; those questions are logged for staff to address directly.
  • If a caller describes a student in immediate danger or a medical emergency, it directs them to call 911 rather than continuing the intake.

Call records may reference a student's grades and learning needs, so limit dashboard access to staff who work directly with families. Calls are recorded and transcribed by default. Privacy Policy and Terms.

FAQs

Tutoring centers questions

Setup, billing and security are covered in the general FAQs.

Can it tell a parent what score their child will get?
No. It never promises a specific score or outcome. It logs the test date and timeline so staff can discuss a realistic prep plan directly.
Does it diagnose learning differences over the phone?
No. It never gives an educational diagnosis. Questions about learning differences or accommodations are logged for staff to address with the family.
Can it schedule a session on the spot?
It logs the request with the preferred time and subject, but confirming a session against tutor availability stays with your front desk.
How does it handle the after-school rush?
It answers calls in parallel while your tutors are in session, capturing grade level, subject and urgency so nothing gets lost between 3pm and 6pm.

Stop losing enrollment calls during your busiest hour

Set up your subjects, grade levels and notification rules in about fifteen minutes, then let after-school calls get answered while every tutor is with a student.
